1 Introduction
The inventory importer is being used to track daily inventory (stock levels) at the retailer. The inventory files are put on our FTP server, and will be imported within 5 minutes of placing the file.
2 File transfer
2.1 Data in files
- Send the files according to one of these two methods:
- Full load: This contains all EANs that are in stock. This includes EANs which stock level have not changed since the last time the inventory was sent. We encourage to send items that run out of stock explicitly with a quantity of 0, but this is not mandatory for this strategy. Send the files daily before 05:00 Central European Time (CET).
- Delta: This contains all EANs that have been updated since the last time the files were sent. In this strategy, it is mandatory to send items that run out of stock explicitly with a quantity of 0. Send the files at least daily before 05:00 CET, but preferably once every hour. For increased data accuracy, when using this strategy, we still need to receive a Full load at least once per week. This can be done at any day and time that is convenient, as long as it’s the same day and time every week. Any inventory report which represents a Full load shall be prefixed with
FULL
, see section 3.2.
- Inventory levels can be sent either in one big report, or can be split up per store and/or per supplier.
- Send the inventory for all suppliers, also for the ones that you do not want to share data with.
- As a retailer, you can control on our platform with which suppliers you share your data. By default, we do not share the data until you decide to.
- As a retailer, you can still do auto-restock or receive automatic smart suggestions when you send the data to Fashion Cloud, but don’t share it with the supplier. However, sharing it with the supplier facilitates that they can help you with your auto-restock targets and can send you personal reorder suggestions.
- Include items that do not have official supplier EANs. We will detect these EANs and sometimes handle the mapping on our side.
2.2 FTP
We expect inventory reports to be sent to us through FTP. Fashion Cloud will set up an FTP account per retailer and provide you with the login credentials (host, username and password). On request, this will be an SFTP connection.
